About the Role

We are seeking a highly organized and detail-oriented Document Management Specialist to join our team at customfield3. As a key member of our project team, you will be responsible for ensuring the smooth operation of our document management processes.

Key Responsibilities
  • Document Status Tracking: Monitor and maintain accurate records of document status, ensuring timely completion and delivery.
  • Controlling and Monitoring: Oversee and coordinate project activities, ensuring compliance with established procedures and standards.
  • Project Coordination: Collaborate with project stakeholders to define and implement document management processes, ensuring seamless integration with existing systems.
  • Digital Document Management: Utilize web-based document management systems to store, retrieve, and manage documents, ensuring secure and efficient access.
  • Status Reporting: Prepare and distribute regular status reports to stakeholders, highlighting project progress and any deviations from plan.
  • Quality Control: Conduct regular reviews to ensure adherence to established templates and standards, identifying areas for improvement.
  • Process Development: Contribute to the development and refinement of document management processes, ensuring they align with business objectives.
Requirements
  • Education: Completed education with a focus on business administration or a related field.
  • Technical Skills: Proficient in Microsoft Office applications and comfortable working with digital document management systems.
  • Language Skills: Excellent written and verbal communication skills in English and German.
