Role Overview
Reporting directly to the Office Service Coordinator or Facilities Manager, the Facilities Operations Specialist plays a crucial role in ensuring the seamless operation of facilities management services within the building.
Key Responsibilities
- Conducting regular assessments of building maintenance needs through weekly inspections and documenting findings.
- Collaborating with the Facilities Manager and Moves and Changes team to address internal space requirements and facilitate team relocations.
- Monitoring inventory levels of office supplies and consumables, placing orders with suppliers as necessary.
- Assisting the Facilities Manager in managing internal relocations within the building.
- Supporting the maintenance of floor plans in coordination with the Facilities Manager and Moves and Changes team.
- Assisting in the organization of in-house and external events as required.
- Coordinating with the Building Operations team to report and arrange repairs for any defective health and safety equipment.
- Providing support to the Office Service Coordinator regarding vendor management and soft service support.
- Overseeing fire wardens and first aiders, assisting with scheduling necessary training and refreshers.
- Maintaining and reviewing manuals, handbooks, and guidance notes.
- Covering receptionist duties as needed.
- Understanding the primary responsibilities of meetings and events, supporting the M&E Specialist when required.
- Managing daily mailroom operations, including deliveries and inquiries.
- Familiarizing yourself with courier procedures and key external contacts.
- Managing mail-related supplies and placing orders as needed.
- Performing additional tasks and duties as assigned.
- Managing the client ticket portal and providing support with the ticketing system.

- Experience in a high-profile corporate environment.
- Background in reception or hospitality is advantageous.
- Proactive and hands-on approach, willing to support team members.
- Familiarity with facilities management processes is preferred.
- Proficient in IT skills, including Outlook, Excel, and Word.
- Professional demeanor with a friendly and welcoming attitude.
- Strong attention to detail and the ability to demonstrate initiative.
- Excellent communication and organizational skills, with the ability to prioritize a busy workload.
- Essential background in customer service.
- Proficiency in both German and English, spoken and written.
