Job SummaryWe are seeking a highly organized and detail-oriented Executive Assistant to join our team. The successful candidate will provide administrative support to our leadership team, ensuring seamless day-to-day operations and contributing to the success of our organization.
Key Responsibilities- Coordinate travel arrangements and itineraries for the leadership team
- Manage calendars, schedule meetings, and prepare conference rooms
- Handle guest reception and COVID-19 protocols
- Correspond in German and English, responding to emails and phone calls
- Perform general administrative tasks, including data entry and document management
- Organize company events, meetings, and celebrations
- Coordinate employee gifts and recognition programs
- Process incoming and outgoing mail
- Arrange catering and external events
- Manage procurement and ordering of office supplies and materials
- Prepare and present welcome signs and birthday cards
- Coordinate travel arrangements for Antech Diagnostics Germany employees
- Prepare expense reports for the leadership team
- Apply for A1 certificates
- Middle school diploma or equivalent, with a completed commercial education or comparable training
- Several years of experience in office management or a related field
- Excellent German and English language skills, both written and spoken
- Strong knowledge of Microsoft Office
- Professional demeanor, a friendly attitude, and a well-groomed appearance
- Independent, reliable, and customer-focused work style
