Your future role:
Embrace a new challenge and leverage your expertise in documentation planning within an interdisciplinary environment. You will collaborate with a passionate and motivated team, reporting to the Team Lead of Documentation Management.
In large wayside projects, effective document management of the planning process is crucial for minimizing construction and technical discrepancies. You will oversee the organization of document management within wayside and infrastructure projects, ensuring alignment with project timelines.
Your tasks:
- As a Documentation Project Coordinator, you will manage all activities related to document management of the planning process, including retrieving As-built plans from relevant authorities.
- You will coordinate the planning process in accordance with established guidelines and administrative regulations.
- You will oversee the activities of planning companies involved in ongoing contracts and monitor documentation production within the management system.
- You will assist project management with data maintenance.
- Ensure timely delivery of documentation to all internal and external stakeholders.
- Manage document translation, record management, and physical archiving in compliance with internal rules and instructions.
- Analyze customer documentation requirements for critical tenders and assess project execution risks.
All about you
We prioritize passion and attitude over experience. While we do not expect you to possess every skill, the following will contribute to your success in this role:
- A background in project management, depending on project complexity.
- Experience with electronic document management systems, preferably EPLASS.
- General knowledge of IT tools and processes, along with proficiency in Microsoft Office 365.
- Familiarity with SAP is advantageous.
- Strong communication and interpersonal skills, with a proven ability to work effectively in teams.
- Clear reporting skills and the ability to manage multiple tasks simultaneously.
- Proficiency in both German and English, spoken and written.
