REPORTS TO: Commercial Director BU Germany
ROLE POSITIONING AND OBJECTIVES
The personal executive coordinator to the Commercial Director Germany and the Area Head of Talent, Culture & Inclusion (HRD) at BAT plays a crucial role in assisting her/his executives in their responsibilities. The coordinator undertakes various tasks, such as managing smaller projects and handling daily operations, while organizing events and activities, attending meetings, documenting notes, and following up on essential actions with relevant stakeholders.
KEY ACCOUNTABILITIES
Executive Support & Project Management
Serve as a trusted ally to the two executives, providing valuable insights and feedback. Oversee projects and initiatives assigned by the Commercial Director & HRD, ensuring timelines are adhered to by all involved parties. Assist the two executives in conducting their leadership meetings, manage the meeting logistics, take minutes, and follow up on action items. Gather and analyze data using established tools, methods, and formats. Prepare and review presentations, reports, or other documents required for decision-making by the two executives.Communication

Draft, review, and manage correspondence and communications on behalf of the Commercial Director & HRD. Act as a liaison between other executives, employees, stakeholders, and external partners. Promote communication and collaboration across departments. Handle confidential information and sensitive matters with discretion.Operational Management
Organize and coordinate meetings, including preparing agendas, taking notes, and ensuring timely follow-up on action items. Oversee the daily operations of the executives' offices, ensuring efficient workflows. Develop and implement processes and systems to enhance operational efficiency. Manage the two executives' schedules, including appointments, meetings, travel arrangements, and expenses. Perform traditional office management duties: ordering supplies, managing mail, records management, and welcoming visitors.ESSENTIAL EXPERIENCE, SKILLS AND KNOWLEDGE
Bachelor's degree in Business Administration, Management, or a related field. 2-3 years of professional experience, preferably in FMCG or a large corporation. Ability to work independently, demonstrating flexibility, resilience, prioritization, and exceptional time management. Strong communication skills, particularly with senior stakeholders. High level of discretion, integrity, and appropriate assertiveness in coordinating and collaborating with all organizational levels. Capability to manage multiple tasks and projects simultaneously in a highly dynamic environment. Solid analytical and critical thinking abilities. Proficient in MS Office applications.
