Key Responsibilities

YOUR ROLE:

As our Office Operations Manager, your primary responsibility will be to:

Facilitate effective communication between the team and management

  • Act as the liaison for external service providers (insurances, suppliers, authorities, etc.)
  • Serve as the point of contact for our HR, Accounting, Legal, and IT Departments in Spain
  • Assist with basic accounting tasks (e.g., collecting invoices and reviewing team expenses)
  • Support HR functions (e.g., coordinating interviews, managing office listings on recruitment platforms, preparing onboarding and offboarding processes, assisting with visa letters)
  • Oversee general office logistics
  • Sort and distribute incoming emails, correspondence, and deliveries
  • Maintain both electronic and physical filing systems
  • Keep track of office equipment and mobile phone contracts
  • Handle office procurement (general supplies, snacks, beverages, etc.)
  • Organize team outings, celebrations, and other events
  • Assist with office visits

In addition, you will provide general support to the Managing Director with various daily tasks:

Manage and organize his calendar

  • Plan and prepare meetings
  • Coordinate travel arrangements
  • Compile monthly expense reports
  • Assist with HR employee evaluations
  • Prepare weekly activity reports for management
  • Conduct research and prepare presentations and briefings
Candidate Profile

WHO WE SEEK:

We are looking for an organized individual with strong analytical skills and a quick learning aptitude:

  • Proactive work ethic, excellent interpersonal skills, and a positive attitude
  • Structured and independent work style with the ability to prioritize effectively
  • Detail-oriented and reliable
  • Exceptional communication skills in German and English; proficiency in Spanish is a plus
  • Proficient in MS Office; experience with MacOS is advantageous
  • A background in business or administrative sciences is preferred
  • We are seeking a candidate who is ready for a long-term commitment
