Job Summary

We are seeking a highly organized and detail-oriented individual to join our team as an Administrative Assistant to the Institute Director. The successful candidate will provide administrative support to the Institute Director and the Strategic Management team, coordinating meetings, appointments, and events.

Key Responsibilities
  • Provide administrative support to the Institute Director and the Strategic Management team, including coordinating meetings, appointments, and events.
  • Assist with guest management and catering for institute events.
  • Conduct correspondence in German and English, including management-level communication.
  • Prepare and edit presentations, reports, and data analyses.
  • Procure and provide literature and information, conducting independent internet research and making procurement decisions.
  • Record and analyze publications in our database systems and internal repositories.
  • Support the reception team in case of absence.
Requirements
  • Completed commercial education or equivalent qualification.
  • Knowledge of literature and data procurement and management, as well as experience in the assistant field.
  • Proficient in MS Office and familiar with digital tools.
  • Engagement, teamwork, reliability, and organizational skills combined with independent and structured work methods.
  • Secure German and English language skills, as well as excellent communication skills.
  • Discretion and loyalty.
