Medical Office Secretary

OBJECTIVE:
The role is designed to provide comprehensive secretarial and administrative support, handling sensitive information and relieving management of various clerical and administrative tasks. This position involves performing essential administrative duties such as managing phone communications, organizing mail, scheduling appointments, and maintaining calendars, while also establishing an efficient office filing system and coordinating meetings.
KEY RESPONSIBILITIES:
Operates under general supervision to deliver a wide range of secretarial and administrative assistance, including tasks of a confidential nature. Carries out complex secretarial and administrative assignments, alleviating management of clerical responsibilities and other business details as required. Develops and maintains an official departmental filing system, including records management and databases. Prepares various documents such as memos, correspondence, agendas, minutes, and policy clarifications. Gathers, compiles, and analyzes information as needed by management, assisting with departmental reporting and form completion. Assists in budget preparation and monitors budget expenditures and discrepancies. Manages invoicing processes. Conducts standard administrative tasks including managing phone calls, processing mail, scheduling appointments, and coordinating both internal and external meetings. Organizes travel logistics and completes expense reports. Collaborates with various levels of management across departments and interacts with external clients. May act as a liaison for other departments such as IT, HR, and facilities management. Supports various projects as directed by the immediate supervisor. Performs additional duties as assigned.Additional responsibilities may focus on specific departments or locations as detailed in applicable addendums.

This position does not supervise others.EDUCATION REQUIREMENTS:
A High School Diploma is required; specialized secretarial training is preferred.EXPERIENCE AND SKILLS REQUIRED:
A minimum of 1 to 2 years of relevant experience is required. Familiarity with business and technical terminology. Understanding of standard business concepts, practices, and procedures related to administrative support. Ability to apply basic reasoning and analytical skills. Proficiency in computer applications such as Microsoft Office Suite, spreadsheets, presentations, and database management. Knowledge of organizational operations and procedures.
