Job Purpose:

The Corporate Legal Administrative Coordinator will play a crucial role in facilitating the efficient operation of the Corporate Governance team. This position will interact with a diverse array of internal and external stakeholders, including senior executives. The coordinator will provide support to Citigroup's broker-dealer, which is governed by stringent regulatory standards.

This position is ideal for individuals looking to embark on a career in Corporate Governance or those in the early stages of their professional journey in this field. Comprehensive training will be provided to assist in various tasks that support the Boards and Committees of our regulated entities, along with legal entity management for a wide range of other controlled organizations.

The role demands a proactive and pragmatic individual with a solid understanding of the Citi Legal Team's operations. The primary objective is to deliver support to the Legal Team effectively.

Key Responsibilities:

The position is essential for ensuring the seamless operation of the busy Corporate Governance team. The coordinator will engage with various internal and external stakeholders, including senior executives.

Daily Operations of the Corporate Governance Team:
  • Assisting with onboarding new team members and providing ongoing systems support, coordinating with IT and other departments as needed.
  • Managing team schedules and email communications.
  • Arranging meeting spaces as required.
  • Handling courier and documentation requests as necessary.

Board Governance Support:
  • Providing logistical support for Board meetings, including room bookings, catering arrangements, and guest access passes.
  • Potential on-site attendance at meetings, managing presenters and logistical contacts.
  • Assisting with additional Board meeting needs, such as off-site visits and Board dinners.
  • Supporting Non-Executive Directors by coordinating diary availability and arranging meetings outside formal Board sessions.

Additional responsibilities may be assigned as needed.

A typical day will involve assisting in the organization of Board and Committee meetings, including agenda preparation, meeting pack assembly, and logistical support.

PERSON SPECIFICATION

Experience, Skills, and Capabilities

Experience/Knowledge:
  • Relevant industry experience, ideally with some exposure to in-house legal roles within financial services.
  • Prior experience in Financial Services and Legal Entity Governance.
  • Ability to manage complex documentation with attention to detail.
  • Creating a positive work environment through open communication and a commitment to completing assigned tasks.
  • Strong verbal and written communication skills.
  • Excellent interpersonal abilities.
  • Capacity to work under pressure and meet deadlines.
  • Ability to establish rapport with other departments, particularly regarding Board and Committee meetings.

Skills:
  • Fluency in English and German.
  • Exceptional interpersonal and project management skills, with the ability to effectively communicate with senior management.
  • Proven ability to meet tight deadlines and excellent organizational skills.
  • Engaging with senior leaders and internal/external peers to gather information and collaborate closely with management to determine legal solutions.

Competencies:
  • Proficient in Microsoft Office Suite: Word, PowerPoint, Excel, Outlook.
  • In-depth understanding of legal customs and practices.

  • Knowledge of the financial services industry.
