Administrative Coordinator (m/f/d)

About the Role

In this position, you will assist the Executive Team of a prominent consulting firm at our central office in Berlin with various administrative responsibilities. You will organize and prepare documentation, facilitate travel arrangements, and manage monthly expense reports for the association's president. Additionally, you will respond to external inquiries from our global network.

Key Responsibilities

Assist with administrative duties, respond to inquiries via phone and email (English/German) Organize, prepare, and gather documents while managing business correspondence Coordinate travel logistics, create comprehensive itineraries, provide necessary confirmations, and finalize reservations Aid in the preparation of financial documents (oversee invoice receipts and ensure proper processing and filing) Monitor leave requests and sick notes for the team and maintain data records Oversee the maintenance and operation of the document server and archive

Qualifications for Success

Experience: Previous roles may include Team Assistant, Management Assistant, or Executive Secretary - Candidates from related fields or diverse backgrounds are encouraged to apply if their skills align with the job requirements Intercultural experience or a background in migration is advantageous but not essential Skills: Proficiency in English and German Familiarity with logistics and proficiency in Microsoft Office applications Detail-oriented with strong organizational capabilities Quick to adapt and enjoy engaging with our international partners Open-minded with an awareness of cultural differences Proactive, self-disciplined, and capable of working both collaboratively and independently Strong sense of responsibility and confidentiality Structured thinker with excellent communication skills, both verbal and written, complemented by a good sense of humor.
