Role Overview:

The Workplace Operations Principal Coordinator is tasked with facilitating and ensuring the execution of the Workplace Promise and User Experience Standards by providing quality-assured operational services across designated office locations.

This role involves managing the Arcadis team and external contractors within the assigned portfolio to ensure an outstanding workplace experience characterized by high user satisfaction levels.

Reporting to the Workplace Operations Specialist or Senior Specialist, the position requires collaboration with various stakeholders.

Key Responsibilities:

The Workplace Operations Principal Coordinator is accountable for overseeing a Workplace team and the supply chain, ensuring that all users of the designated workspaces receive a premier experience.

Responsibilities include:

Delivering workplace operations in alignment with the Workplace Promise, User Experience Standards, and Standard Operating Procedures. Effectively managing all facilities management and workplace administrative services across the designated portfolio, including self-delivery as necessary. Providing mentorship, support, and guidance to team members. Monitoring financial performance, including budgeting, reporting, and managing variances. Reporting on performance and managing KPIs across the allocated office portfolio. Supporting audit initiatives and addressing non-conformities until resolution. Managing local suppliers to ensure compliance with job and contract specifications, as well as Arcadis standards. Ensuring adherence to health and safety, quality, sustainability, and security requirements while fostering relationships with relevant Arcadis functions. Complying with all regulatory requirements, including SHEQ, legislation, and Arcadis standards. Collaborating with enabling functions to enhance service effectiveness and efficiency. Supporting workplace projects within properties as needed. Implementing emergency and crisis response protocols effectively.

Qualifications & Experience:

Knowledge:

Comprehensive understanding of facilities management and workplace practices acquired through relevant experience. Experience in health and safety compliance within the facilities management context. Familiarity with contractor management processes in facilities management.

Skills:

Ability to inspire, coach, and lead colleagues. Strong accountability for a diverse range of responsibilities. Hands-on experience in a dynamic facilities management environment. Proficiency in written and spoken English, along with the local language. Excellent communication skills for developing and maintaining key relationships. Capability to work independently and collaboratively within a team. Strong customer service orientation. Ability to build effective relationships with stakeholders. Familiarity with general IT systems relevant to workplace service delivery.
