**Your Job**:
The Customer Services Representative -Key Accounts will be the frontline contact for Brooks Key Accounts in DACH. You will be responsible for upholding the established standards of customer service excellence set by the Brooks DACH team’ whilst always looking for opportunities to excel on management of our Key Accounts. Brooks Customer Services meet the needs of the retailer by building strong relationships and supporting them through order processing, tracking and reviewing performance against set KPI’s as well as product explanation. Customer Services also communicate daily with Finance, Sales, Operations and Marketing, being an important line of communication for colleagues on the road.

As the Customer Service Representative
- Key Accounts, you will ensure seamless account management of our key accounts from order entry, tracking and inquiries to EDI set-up and inventory count.

**Your Responsibilities**:

- ** Key Account Management**:

- Liaise with Key Account Manager, Key Account Sales Rep, Sales Manager and Marketing to ensure highest levels of service for priority accounts.
- Ensure delivery schedules are confirmed and communicated with customers.
- Liaise and work with operations teams to ensure Key Account orders and deliveries.
- Ensure seasonal sales terms are uploaded correctly on the system.
- Respond to Key Account enquiries and ensure key information is shared with relevant stakeholders.
- Manage complex EDI processes for consignment contracts and support IT on EDI set-up for Key Accounts.
- Support Operations team on annual inventory count for consignment accounts.
- Communicate regularly with counterpart at Key Account to ensure seamless execution of account requirements such as VAS/DAS.
- Participate in pre-season discussions at Key Accounts with Key Account Manager and discuss season processing with dispatchers.

**Customer Orders and Sales Coordination**:

- Respond to reps/accounts within 24 hours of initial inquiry and interact with customers in a professional, friendly, helpful manner via various contact channels (including social media, chat, text).
- Enter and maintain Future Orders through different systems and ensure timely and accurately shipment in accordance with our operations & logistics protocols (Booking-in).
- Manage the entire order process from entry to invoicing based on automated Excel files provided by accounts with their sales figures.
- Track orders to provide estimated delivery times, and work with Operations team or DC to re-arrange deliveries as needed.
- Communicate an account’s shipping and packing requirements to the warehouse.
- Place fill in orders as well as provide information on inventory availability to accounts and sales reps.
- Proactively communicate with Sales Reps or Sales Management regarding order amendments and cancellations.
- Issue RA numbers and defective credits as needed within 5 working days.
- Review individual financial situation of customers and make determinations on shipment of orders with Finance, Key Account Manager and/or Sales Manager.

**Customer Database, Inquiries and Troubleshooting**:

- Creating new customer accounts.
- Provide accounts with information on our apparel and footwear lines and be able to help a customer determine which product is best for them.
- Deal with enquiries for B2B orders.
- Maintain an organize and up-to-date filing system for accounts orders and correspondence that can be easily accessed by others when needed.
- Work with credit to resolve invoicing issues. Fill out credit memos/debit as needed.
- Provide copy invoices/order confirmations/dispatch notes as needed.
- Process returns and issue credits when necessary.

**Other Responsibilities**
- Perform special projects as assigned.
- Complete reports as provided by sales and management.
- Provide Sales and Marketing Support as needed.
