Support Service Delivery teams in Germany / NEUR with client communication and document handling.
- Acting as CFO and SDO, incl. survey arrangements and reporting
- Tracking of documents, correspondence with flag administration.
- Close cooperation with MMSO Manager and MMSO SD TA on work packages and alignment of processes for mutual support and knowledge exchange
- Working with our internal SAP Business by Design (ByD) for setting up the contracts and Service Orders (SvO) and follow the invoicing process
- Handling / planning of service requests for vessels for GermanPorts (whole German Area)
- Responsible for German Government vessels
- Responsible for German Flag Administration
- correspondence with colleagues and team leads (SiCs)
- monitoring the workflow if changes are necessary (to adapt to new workflows, etc.)

Dealing with CFO requests for vessels:

- Acting as CFO (survey arrangements only)
- Arranging surveys worldwide for local clients
- Cooperation and communication with clients and colleagues from other offices
- Close cooperation with other SD TA in NEUR and other areas if applicable
- General Office Work (switchboard, post, etc.)
- Other tasks related to SD support maybe added as the role develops

Prioritise and process documentation/data/information in accordance with local business requirements and agreed deadlines.

Data filing/entry in accordance with defined procedures.

Deal with queries and build relationships with internal/external clients, as appropriate.

Conduct all activities in line with internal procedures, contractual requirements, cost structures and budget constraints.

Professional administrative education or equivalent

Previous experience in an administrative support role, good understanding of Service Delivery processes

Excellent cooperation and communication skills with own team and with other internal and external stakeholders

Strong customer orientation. Responsive and pro-active.

PC-literate; MS Office, CS 10, MAST, SharePoint

Structured and well-organized working style, attention to detail and data correctness

Proficiency in the English and German language (spoken and written)

Flexibility as the role develops
