**About the position**

We are seeking a highly organised and detail-oriented individual to join Vivira as an Assistant to the Programme Management Office (PMO). In this practical internship, you will learn how to support the planning, coordination, and execution of various projects and programs within a dynamic startup. You will work closely with the PMO team, CEO, Management Team, project managers, and cross-functional teams to ensure successful project delivery and administration in a variety of tools. You will take a deep-dive into one of the PMO Projects and support the CRM Manager with implementing a new CRM system. This makes the internship especially interesting for marketing and business students that want to gain a broad understanding of customer journeys across engineering, data, marketing, sales and service disciplines.

**Your responsibilities with us**:

- Support PMO Operations: Assist in the day-to-day operations of the PMO, including maintaining project documentation, updating project management tools, and ensuring accurate data entry and reporting.
- Project Coordination: Collaborate with project managers to coordinate project activities, meetings, and milestones. Track project progress, identify potential risks, and facilitate timely resolution of issues.
- Documentation and Reporting: Prepare and maintain project documentation, including project plans, schedules, status reports, and meeting minutes. Ensure accurate and up-to-date information is available to the project team and stakeholders.
- Stakeholder Communication: Facilitate effective communication between project teams, stakeholders, and executive management. Help prepare presentation materials and reports for project updates and status reviews.
- Support the CRM Manager in managing the existing CRM, building and implementing a new CRM from the ground up. You will learn how to move an organisation to a new CRM, including feature development in a state-of-the-art CRM, data migration, training of commercial agents and integrating the CRM into the existing tech architecture.

**What you should bring along**:

- Bachelor's degree in marketing, business administration, project management, or a related field
- Minimum 3 months availability for the internship, ideally 6 months
- Strong organisational and time management skills, with the ability to prioritise tasks and meet deadlines
- Excellent written and verbal communication skills, including the ability to create clear and concise project documentation
- English is a must, German a plus
- Familiarity with Agile and Waterfall project management methodologies, their differences and characteristics
- Proficiency in Google sheets, slides and, preferably MS Excel
- Analytical mindset with the ability to identify and resolve problems proactively
- Strong attention to detail and accuracy
- First experience in project management tools and software (e.g. JIRA, Asana, Trello, Confluence) are a plus
