The role will support the Medical Affairs Head as well as the department in all relevant, European projects and team communication strategies.

**Key responsibilities**:

- Administrative support and project coordination for Medical Affairs Europe at Munich Headquarters
- Foster team communication and develop new and accurate communication channels & tools within Medical Affairs HQ and affiliates
- Developing and further optimization of internal and external processes
- Oversight and support of for conducting internal and external team events in collaboration with event management (e.g. expert meetings, AdBoards, congresses, internal meetings)
- Team coordination & managing calendars as well as scheduling and confirming internal and external appointments
- Support of team members (e.g. travel requests, accommodation and transport agreements and creating travel expense reports
- Archiving oversight
- SOP data management
- Strong support and follow-up/development of onboarding plans for new employees
- Back-up for Medical Affairs department in all departmental financial projects related tasks by tracking, reconciliating, reporting and processing in SAP, Jedox and global systems in close collaboration with the global and regional medical affairs functions
- Support of contract management

**Personal skills and professional experience**:

- Business Management Education such as certified business expert (kaufmännischer Fachwirt), certified business economist (Betriebswirt), or equivalent
- English business language education preferred (i. e. "Fremdsprachenkorrespondent") or equivalent
- Experience of at least 6 years in business management functions in mid-sized companies, authorities or associations
- Good knowledge of MS Office and accounting systems (SAP)
- Good Business management/project management skills
- Very good English skills (fluent knowledge of the spoken and written word)
- Good oral and written communication skills
- Good interpersonal skills, great team-player behavior
- Excellent team communication skills
- Experienced in agile working concepts
- Good organizational and analytical skills
- Independent and goal oriented working approach
- Great attention to detail to catch errors
- Capable to manage multiple tasks in parallel
- Good time management skills
