What to Expect
As Administrative Support Specialist, you will play a pivotal role in ensuring the efficient operation of our headquarters. Your primary responsibilities will involve processing incoming digital and physical mail, routing it to internal stakeholders, and liaising with suppliers, governmental entities, and local authorities to gather further details about specific mail and inquiries. Additionally, you will be responsible for processing invoices for various services and goods. In addition to these tasks, you will also oversee workplace management to ensure that our colleagues have a comfortable and productive work environment. Fluent German (preferred native) language skills are essential for this position.

What You’ll Do
- Receive and process incoming digital and physical mail promptly and accurately.Forward mail to appropriate internal stakeholders and departments, ensuring efficient communication as well as maintain well-organized records and documentation related to incoming and outgoing digital mail.
- Liaise with suppliers, governmental entities, and local authorities to gather necessary information related to incoming mail and inquiries.
- Collaborate with different teams to optimize mail processing procedures and streamline workflow.
- Process invoices for various services and goods, ensuring accuracy and adherence to company policies.
- Oversee workplace management, ensuring that all facilities provide a comfortable and productive environment for Tesla colleagues. Proactively identify opportunities for improving workplace efficiency and employee satisfaction. Monitor and replenish office supplies and other essentials to support smooth operations.
- Assist in the planning and organization of company events and meetings.

What You’ll Bring
- Fluent German (preferred native) and English are a must for effective communication.
- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Excellent communication and interpersonal skills for collaborating with colleagues and external parties.
- Attention to detail and accuracy in mail processing and invoice handling, ideally previous experience in mail processing, office administration, or a related field is preferred but not mandatory.
- Proactive and resourceful problem-solving abilities.
- Familiarity with office management and digital mail handling procedures is advantageous.
- Proficiency in using digital communication tools and office software (e.g., MS Outlook, MS Excel, MS Word etc.).

Work Environment:

- This is an on-site position at our headquarters in Berlin
- The workplace is a fast-paced and dynamic office environment.
