Administration Manager

The administration manager is responsible for the day-to-day running of the administration function of the Regenerative Innovation Centre (RIC), a technology and innovation division. . The administration function of RIC is aligned with the other Common Service functions of Toshiba.
Your role includes the day-to-day accounting and finance through to preparing monthly management accounts and statutory account reporting. If required, you will deal with auditors, tax consultants and lawyers. You make sure that all administration activities are carried out efficiently, effectively, and accurately to tight deadlines, providing mainly colleagues in Aachen but also in Düsseldorf with an environment where they can work efficiently and without distractions. You take care that all compliance reporting is submitted in a timely manner.
Finance-related responsibilities:
- Cost controlling: liaising with Finance in the TEUR German Branch, preparing forecasts and monthly adjustments, monthly accruals
- Overseeing day-to-day accounting, including month-end accounting, to strict deadlines (in cooperation with Finance in TEUR German Branch)
- Support BU Management in the area of audit liaison and data preparation
- Timesheet accounting for external research projects
HR-related responsibilities:
- General support and explaining the company structure and procedures to other colleagues
General administration responsibilities:
- Reporting to General Manager and attending relevant meetings
- Contract management for RIC in collaboration with the Legal Department
- Annual and half-year reports management to Headquarter
- Reviewing and updating regulations and guidelines
- Landlords - liaison on all property matters
- Recording and reporting of research output including intellectual property
- Overseeing management of Export Control records and reporting
- Overseeing and co-ordinating with IT division on the network
- Liaising with patent solicitors to support applications
- Liaising with company corporate Financial, Legal and HR departments
- Drafting and reviewing legal agreements (e.g. NDAs, Collaboration Agreements) with legal team
- Implementing new processes and procedures in line with internal/external changes
- Regular auditing of internal systems and procedures (e.g. IT security, GDPR, Export Control, Information Security etc) to comply with relevant policies and regulation
- Maintaining a good physical work environment by dealing with office-related issues of health & safety, equipment and supply procurement
- Managing teams, supervising processes and results
Skills / Qualifications:
- Proven experience of minimum 5 years as an administration manager (ideally in a technology/research organization)
- Bachelor’s degree or equivalent
- Expertise and experience in finance/accounting
- Ability to plan for and accomplish multiple tasks
- Proficiency in IT software, especially MS365
- Strong verbal and written communication skills
- Experience in team management; leaderships skills but a team player
- Ability to support the development of a team, but also the personal development of colleagues
- Languages: excellent German, at least upper intermediate level English (B2)
- Some travelling between Aachen and the HQ in Düsseldorf will be required.
