Personal Assistant to CEO

Contract Type: Part-time, permanent, 20-30 hours per week, subject to a 3 month probation
Location: Dülmen, NRW, Germany. Hybrid working - mix of working from both office and home
Salary: We have benchmarked a salary in the region of €40k-€50k (reduced pro rata for part time), dependant upon experience
The RoleWe are looking for an experienced Personal Assistant to provide support (admin and financial) to a busy husband and wife team running 2 businesses - a global software business (vable.com) and a wallpaper design business (miloladesign.com) - as well as managing 4 children.
To be successful you need to be fluent in English and German, have several years as a personal assistant as well as experience managing accounts for a small business. You will also need to have meticulous attention to detail, and excellent communication and time management skills. You also love solving problems and are always looking for ways to improve efficiency.
Key responsibilities will include, but are not limited to:
- Managing all admin matters (personal and business)
- Calendar, email inbox and file management.
- Booking travel
- Ad hoc projects
- Bank reconciliations
- VAT Filings - German and UK
- Producing monthly management reports
- Managing Accounts Payable and Accounts Receivables
- Liaising with tax advisors and authorities and ensuring timely filings
- Minimum of 2 years of experience as a Personal Assistant
- Minimum 2 years experience in financial / accounting roles
- Proficiency in cloud based financial software and tools
- Proficiency in cloud based communication, project management and collaboration tools (eg slack, monday.com and gmail, google docs)
- Excellent analytical and problem-solving skills
- High level of integrity and ability to deal with sensitive information
- Meticulous attention to detail.
- Strong organisational and time management skills, with the ability to manage multiple priorities and meet deadlines.
- Excellent communication and interpersonal skills.
- High degree of initiative, reliability and flexibility.
- Fluency in English and German at a business level; other language skills are beneficial

- You will receive a MacBook, and other required technical equipment when you join
- 30 days of paid leave a year (reduced pro rata for working part time)
- We operate in a fast paced environment, juggling many balls at the same time. If you don’t like a bit of chaos then this role may not be for you.
- The role is quite generalist and you will be expected to do areas that you perhaps don’t like or feel is not your job. If this isn’t you, best not apply.
