An exciting opportunity has arisen for an experienced Personal Assistant to join the Scottish Ambulance Service, providing high level support to our Executive Director(s).

As part of a well-established and professional administration team, you will play a key role in delivering a comprehensive PA and administrative service, ensuring the smooth and efficient operation of the Director's office. Your proactive approach, attention to detail and positive outlook will be essential in supporting senior leaders and contributing to the success of the organisation.

In this role, you will provide dedicated support to Executive Director(s) and senior managers, managing complex diaries, inboxes, correspondence and enquiries with discretion and efficiency. You will offer flexible and responsive assistance to meet the day-to-day needs of the Executive Director(s), adapting quickly to changing priorities and requirements.

You will take responsibility for the full secretariat process for high level and complex meetings, including drafting agendas and supporting documentation, producing accurate minutes, and monitoring follow up actions. In addition, you will work closely with the Board Secretary and Governance Officer to prepare Board and Governance Committee papers. Significant experience supporting senior executives within the NHS or a similarly complex organisation is highly desirable.

To succeed in this role, you will demonstrate exceptional organisational skills and the ability to prioritise effectively to meet tight deadlines. Strong communication skills and a collaborative approach to teamwork are essential. You will have proven experience of managing multiple complex diaries and inboxes, handling sensitive information with absolute discretion, and producing high quality minutes for complex meetings
