We are looking for a dynamic and passionate Office & Finance Coordinator.

**1. YOUR ROLE**

The Office & Finance Coordinator ensures smooth running of our company’s office and finance operations and contributes in driving sustainable growth by:

- Coordinating office operations and finance activities to secure efficiency and compliance to company policies
- Keep stock of office supplies and place orders when necessary

2. YOUR RESPONSIBILITIES

2.1. Office Responsibilities
- Maintain the office by coordinating office operations and procedures, controlling correspondence, designing filing systems, and executing clerical functions.
- Maintain company and other office files while practising company-wide file retention and data protection policies
- Ensuring that all relevant legislation is adhered to such as health and safety regulations and any industry-specific best practice guidelines
- Oversee all areas of office management and act as point of contact for landlord, property managers, external suppliers and service providers as well as any other office related matters
- Collaborate with on-site maintenance team and external contractors to ensure that the property and individual units are repaired and maintained to meet company standards and local laws
- Create and process new leases as well as lease renewals and additions, such as washer and dryer rentals, parking garage rentals and pet addendums
- Track, maintain and replenish office supplies, consumables (including food and snack items) and cleaning materials
- Responsible for purchasing office and staff equipment and supplies, leasing and management of plants, furniture, and mobile phone contracts.
- Manage office related operations and activities related to:

- Access control
- Rent and utilities (phones, electricity, rundfunkbeitrag and internet etc)
- Post and invoices
- Staff transport cards and payments to service providers
- Cleaning services
- Employer liability and insurance
- Organise and coordinate team events and activities
- Submit timely expense reports and prepare presentations/proposals as assigned
- Assist colleagues whenever necessary

2.2. Finance Responsibilities
- Matching invoices to statements and purchase orders to invoices
- Maintenance of budget and cash flow
- Identify gaps and recommend improvements in financial processes
- Paying for staff equipment, office supplies and company / team events using company card and submitting invoices and expense report to the Finance department for processing and reconciliation
- Support budgeting and bookkeeping procedures
- Ensure office financial obligations are paid and processed in a timely manner

2.3. Team Management
- Participate in the onboarding process of new team members, ensuring their engagement and continuous development

2.4. Training
- Identify and complete training that have been identified for your own career and professional development
- Participate in Knowledge Share activities

2.5. Business Development
- Collaborate and contribute to the development of content or presentations for current or potential clients/projects
- Contribute to technical proposal writing and budget development
- Support ad hoc Business Development activities with senior leadership

**3. **YOUR PROFILE**
- Degree in Office Administration, Finance, Economics or relevant field
- 2 Years of experience in a similar role
- Outstanding communication and interpersonal abilities
- Excellent organisational and leadership skills
- Familiarity with office management procedures and basic accounting principles
- Native German speaker
- Business level fluency in English
