Associate Events Coordinator

**About the Role**

NinjaOne is looking for a proactive and detail-oriented Associate Event Coordinator to support the planning and execution of our trade shows and conferences across EMEA. You will report into the Trade Shows & Conferences Team, EMEA and collaborate with marketing, sales, and external vendors to ensure smooth and impactful event experiences.

This role is a fantastic opportunity for someone early in their career looking to gain hands-on experience managing event logistics, vendor relationships, and cross-functional collaboration in a fast-paced, international tech company.

**What You’ll Be Doing**
- Assist in coordinating trade shows and conferences across Europe, including the UK, Germany, France, Benelux, Nordics, Italy, and Spain
- Support booth design, signage, event graphics, vendor coordination, guest speakers, and event setup logistics
- Manage relationships with trade show organizers, suppliers, and travel partners
- Handle administrative tasks such as contract tracking, invoice processing, and maintaining event documentation
- Organize employee and customer travel for events in collaboration with travel agencies and internal stakeholders
- Manage and track trade show swag, inventory, and shipments
- Evaluate event opportunities such as sponsorships and local marketing initiatives
- Collaborate with internal teams to align event execution with campaign messaging and business goals
- Ensure smooth communication across stakeholders and contribute to a positive attendee experience
- Assist with post-event reporting and analysis

**About You**
- 1-2+ years of experience supporting or coordinating trade shows, conferences, or B2B marketing events
- Self-motivated and highly organized with a strong attention to detail
- Excellent verbal and written communication skills in English; additional European languages are a plus
- Analytical mindset and comfortable working toward measurable event goals
- Able to manage multiple tasks, timelines, and priorities simultaneously
- Proficient in Microsoft Office Suite (Word, Excel, SharePoint, PowerPoint, Teams); CRM or event software experience is a plus
- Willingness to travel up to 15-40% across EMEA (especially during spring and autumn event seasons)
- Valid driver’s license and good driving record
- Experience in B2B SaaS, IT, or MSP space is a plus
