Senior Specialist, Workplace Operations

We're looking for a Senior Specialist, Workplace to join our team and help us achieve our goals.
Key Responsibilities:- Liaise with vendors and suppliers for office-related services, cultivating partnerships and ensuring seamless operations.
- Manage office facilities, including cleaning, security, and maintenance, to maintain high hygiene levels and ensure a safe working environment.
- Coordinate and schedule additional services, such as deep cleaning, special cleaning, and security measures, as needed.
- Oversee the HUB processes and internal logistics for food and catering deliveries, shipments, and distribution of office supplies, ensuring smooth operations and cross-departmental support.
- Monitor vendor and supplier performance to ensure compliance with company policies and procedures.
- Conduct regular quality and spot checks, service check-ups, and onsite patrols to ensure compliance with health and safety regulations.
- Develop and update service manuals and guidelines, training external staff on office guidelines, policies, and best practices.
- Manage asset administration for software and hardware for external employees and services, and administer individual external accounts via Application Manager software.
- Provide reception and front-of-house services, serving as a point of contact for employee queries and concerns, and coordinating Jira tickets related to deliveries, caterings, shipments, and night and weekend access.
- Assist with financial administration and contract management, including expense tracking, submitting accruals, creating yearly POs, and identifying cost-saving opportunities.
- Support budget preparation and forecast expenditures, and participate in contracting, tendering, and price negotiations.
- Identify opportunities for innovation and process improvement, developing and implementing strategies to enhance service quality.
- Analyze and utilize data to develop service concepts further and strategies.
- Contribute to office furnishings, construction, and moves projects, defining, equipping, and maintaining spots for office equipment and inventory.
- Check, create, and place signage and labels in coordination with workplace strategy.
- Report and collaborate with cross-functional teams, creating overviews, dashboards, and reports for team collaboration.
- 3+ years of experience in facilities or office management, preferably in a similar-sized office.
- Fluent English and German skills, with the ability to communicate effectively and persuasively across a diverse set of stakeholders.
- Highly organized, motivated, stress-resistant, and open-minded individual with a positive mindset.
- Experience in SAP Ariba P2P, Google Workplace, Contract Management tool lawvu, or eSourcing tools.
- Health and safety certification or familiarity with health and safety regulations in Germany.
