Overview:

The Systems Operations Coordinator plays a pivotal role in collaborating with country management and Shared Services to evaluate, document, and enhance country operations while formulating actionable strategies and overseeing their execution. This position involves training, supervising, and mentoring junior Systems personnel, including Office Managers, Office Assistants, and Depot staff.

Technical Proficiency:

Experience with ERP and CRM software, along with proficiency in PC-based applications (Microsoft Office) and Windows, is essential.

  • Overseeing, coordinating, and optimizing both existing (e.g., ERP) and new (e.g., CRM) systems, including user training and the creation of Standard Operating Procedures (SOPs).

Education and Experience:

A four-year degree from an accredited college or university, preferably in a business-related field, along with a minimum of three years of experience in Hire software, CRM, and Depot Support. Familiarity with the Hire industry and a foundational understanding of finance/accounting principles, supported by strong performance evaluations in previous roles; four years of Depot Management/Hire experience may substitute for the educational requirement.

Key Responsibilities:

  • Conducting visits to depots to evaluate, document, and enhance country/depot systems and operations to boost operational efficiency.
  • Developing and executing process improvement strategies for operational and administrative functions.
  • Generating written reports following country visits, detailing improvement plans and timelines.
  • Preparing financial and statistical reports for comprehensive analysis.
  • Conducting interviews and making recommendations for the recruitment of office and administrative staff.
  • Addressing inquiries from countries regarding all facets of system operations and standard operating procedures.
  • Creating new policies and procedures for depots as necessary.
  • Delivering on-site training at country/depot locations and during corporate meetings.
  • Developing training materials to be utilized in conjunction with on-site training and corporate meetings.
  • Reviewing documentation, assessments, and process improvement plans prepared by depot office managers and other personnel.
  • Training and mentoring staff on depot programs and systems (including CRM, ERP, and Finance Tools).
  • Ensuring the Instruction/Policy Manual is updated promptly.
  • Assisting in the development and implementation of new procedures and features to enhance workflow processes.
  • Advising staff on handling non-routine reporting transactions and requirements.
  • Enhancing job knowledge through participation in educational opportunities.
  • Supporting Shared Services on special projects.
  • Willingness to travel regularly with appropriate notice and scheduling.
  • Demonstrating self-motivation and the ability to work under pressure while meeting deadlines.

  • Timely issuance of assessments and improvement plans.
  • Prompt delivery of country/depot visit reports.
  • Follow-up to ensure timely implementation of improvement plans and new policies.
  • Identification and implementation of new policies and procedures as necessary.
  • Completion of periodic staff assessments and reviews as required.
  • Conducting research and special projects as assigned.
