We are seeking a Production Operations Coordinator to become an integral part of our team. This part-time role, comprising 25 hours per week, will provide essential support to account managers while ensuring effective collaboration with various departments to meet client requirements.

Applicants must be residents of Germany and possess legal authorization to work in Germany without sponsorship.

Key Responsibilities
  • Assist sales account managers and their clients in the successful execution of vinyl record projects, which includes:
  1. Organizing and assessing project documentation
  2. Monitoring project timelines and progress
  3. Identifying and resolving potential challenges
  4. Implementing solutions to overcome obstacles
  5. Following up on outstanding assets to guarantee production readiness
  6. Collaborating with multiple departments throughout the production cycle
  • Overseeing production coordination with pressing operators
  • Facilitating production processes with the shipping and logistics teams
  • Reviewing bills of materials, quotes, and purchase orders for precision, reporting any inconsistencies to account managers
  • Ensuring timely ordering and delivery of print materials, managing critical deadlines with external vendors
  • Updating and maintaining schedules and reports to provide production updates to clients and account managers
  • Managing all production-related documentation using Microsoft Excel, Google Business Suite, and proprietary company software
Qualifications
  • Fluent in German (minimum C1 level)
  • At least 2 years of experience in administrative or coordination roles
  • A minimum of 2 years of customer service experience
  • Proficient in Microsoft Office and Google Business Suite
  • Ability to work autonomously and take initiative
  • Strong collaboration skills within a team environment
  • Excellent verbal and written communication abilities
  • Exceptional attention to detail
  • Highly analytical with strong problem-solving skills
  • Ability to excel in a dynamic, team-oriented setting with changing priorities
  • This position requires 100% on-site presence.
