About the Role
We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at Leibniz Universität Hannover. As an Administrative Support Specialist, you will play a key role in supporting the Institute of Inorganic Chemistry with various administrative tasks.
Key Responsibilities
- Manage and coordinate university-wide collaborative research projects, collaborative research centers, and priority programs, as well as other third-party funded projects.
- Process and preliminary accounting of the institute's invoices and monitor budget funds in SAP.
- Consult with the institute's executive committee on budget matters and create overviews and presentations for board meetings.
- Support the institute's management in developing and implementing a strategy for public relations and external representation in the institute's research area, as well as collecting key figures (third-party funds, publications, student numbers, etc.).
Requirements
- Completed professional training (Verwaltungsfachangestellte / Verwaltungsfachangestellter or Verwaltungswirtin / Verwaltungswirt) and passed the corresponding examination (Verwaltungsprüfung I) or eligible for career group 1 - entry level 2 within the field general service (Allgemeine Dienste).
- Equivalent professional training.
- Reliable, committed, and independent work ethics, organizational talent, resilience, and the willingness to continually adapt to new or changing tasks, as well as strong teamwork skills.
- Fluent German and English language skills.
- Proficiency in office software, particularly MS Office (Excel, Word), email, and calendar.
- Ideal experience with website maintenance (e.g., TYPO) and SAP-supported applications (accounting and personnel management).
- Experience with administrative procedures in a state authority (e.g., university) or generally in as a secretary or assistant.
