Office Administrator

Hegel GmbH, a leading company in the field of industrial protective coating systems, is seeking a highly motivated and organized individual to join its team as an Office Administrator. As a valued member of the team, you will be responsible for ensuring the smooth operation of the office and providing administrative support to the management.

Key Responsibilities:

  • Develop and implement efficient office routines and processes to optimize productivity and efficiency.
  • Manage and coordinate communication with service providers, suppliers, and authorities.
  • Process orders and shipments, and prepare accounting documents for the tax advisor.
  • Prepare offers, invoices, packing lists, and delivery notes, and track incoming and outgoing payments.
  • Manage payments to suppliers and service providers.
  • Collaborate with different departments to ensure smooth communication and coordination.
  • Provide administrative support to the management, including personnel management and organizational tasks.

Requirements:

  • Excellent communication and interpersonal skills.
  • Strong organizational, multitasking, and time management skills with attention to detail.
  • Knowledge of commercial processes and procedures.
  • Flexibility and adaptability in a fast-paced environment.
  • Ability to recognize and solve problems independently.
  • Native level of German and business fluency in English (spoken and written).
  • Proficiency in using MS-Office applications and ability to learn additional software.
