Job Summary

We are seeking a highly skilled and experienced Digital Excellence Assistant to join our European team. The successful candidate will provide administrative support to our Digital Excellence department, ensuring seamless coordination of activities, projects, and appointments.

Key Responsibilities

  • Coordinate appointments, meetings, and travel arrangements for the Digital Excellence team
  • Manage calendars, schedule appointments, and confirm internal and external meetings
  • Correspond with internal and external colleagues, including contract management
  • Independently manage departmental financial project tracking, reconciliation, and reporting in SAP
  • Prepare and generate purchase requisitions in SAP
  • Coordinate with procurement and track financial status for ongoing projects
  • Support month-end, quarterly, and year-end close financial processes and reporting
  • Post goods receipts and monitor project milestones
  • Functional invoice review and correction handling
  • Support cost planning and phasing, and compile and report accruals
  • Manage contracts using the Daiichi Sankyo ConTrax database tool
  • Provide backup support for team members and/or personal assistants

Requirements

  • Bachelor's degree in Business Management or equivalent
  • At least 2 years of experience in business management functions in mid-sized companies, authorities, or associations
  • Experience with business computer applications like Microsoft Office and SAP
  • High proficiency in financial/accounting processes and administrative/organizational procedures and systems
  • Good knowledge of SAP system to support internal requirements from DSE Finance
  • Good knowledge of Microsoft Office 365: Word, Outlook, Excel, MS Project, Power Point
  • Good business management/project management skills
  • Good oral and written communication skills
  • Good interpersonal skills, team-player behavior
  • Talent for effective organization/project management
  • Proactive, independent, and goal-oriented working approach
  • Great attention to detail and focus on flawless execution
  • Flexible and works well under pressure
