Administrative Support Specialist

About the Role

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team in Singapore. As a key member of our international team, you will provide administrative support to our Managing Director and contribute to the smooth operation of our office.

Key Responsibilities

  • Provide secretarial support, including managing the MD's calendar and updating travelers' calendars
  • Offer administration support, such as organizing travel expenses, maintaining office equipment, and printing calendars/diaries
  • Collaborate with international team members, including customers, suppliers, and the German headquarter, via phone and email
  • Arrange complex travel, accommodation, and transport arrangements, including setting up corporate accounts
  • Organize meetings, conferences, and team bonding events, including preparing minutes
  • Support the organization of exhibitions
  • Handle logistics tasks, such as preparing commercial invoices, packing, and arranging shipments
  • Provide sales support, including data entry, research, presentations, and handling orders
  • Offer internal sales support, such as raising purchase orders, quotations, invoices, and credit notes
  • Provide IT support, including inventory management and coordinating with the HQ
  • Offer HR support, including onboarding and offboarding processes, such as setting up laptops and collecting necessary documents

Requirements

  • At least 4 to 5 years of experience as a personal assistant or administration manager
  • Diploma or degree in business studies, administration, management, or equivalent
  • High level of confidentiality and excellent self-organization skills
  • Excellent communication skills in English, both written and verbal
  • Strong proficiency in Microsoft Office
  • Dynamic, highly motivated, well-organized, and detail-oriented
  • Good team player with a cheerful personality
