Job Title: Office Coordinator

We are seeking a highly organized and detail-oriented Office Coordinator to provide administrative support to our Commercial Operations team at CSL Seqirus in Munich.

Key Responsibilities:
  • Procurement and Finance:
    • Collaborate with the UK accountancy and procurement teams to ensure seamless financial processes.
    • Develop and optimize work processes to improve efficiency.
    • Process purchase requisitions and purchase orders, ensuring accurate invoicing and timely payment.
    • Liaise with Procurement & Finance to ensure compliance with company policies.
    • Track and report monthly accruals as agreed with the cost centre manager.
    • Support HCP payment disclosure and track vendor payments.
  • Events & Meeting Organisation:
    • Work closely with the commercial team to support event planning and coordination.
    • Organize conferences, HCP meetings, and internal meetings, including logistics, catering, and meeting room bookings.
    • Liaise with vendors for offsite meetings.
  • Contracts and Outsourcing:
    • Collaborate with Legal and/or Contracts and Outsourcing to develop and execute consultant agreements, service level agreements, and program schedules.
    • Upload contracts in the Companion platform.
  • Project & Processes Support:
    • Support process improvement initiatives and help simplify processes.
    • Engage with colleagues and stakeholders to resolve issues and find solutions.
    • Participate in project meetings and provide support as required.
    • Liaise with external agencies and vendors.
  • General Administration & Office Management:
    • Provide administrative support, including travel arrangements and IT needs.
    • Manage SharePoint sites, ensuring content is current and compliant with policies.
    • Purchase office materials and manage office supplies.
    • Meet compliance requirements for travel, procurement, and office processes.
    • Manage office suppliers and ensure the office is functional with necessary supplies.
Requirements:
  • High School Diploma or higher education.
  • 3 years' office management/administrative working experience.
  • Microsoft Office package skills, including Excel, PowerPoint, and Word.
  • Efficient organization, accuracy, time management, and prioritization.
  • Independent support of all business processes.
  • Critical and creative thinking skills.
  • Generate and implement process improvements.
  • Respect deadlines and complete tasks accurately.
  • Strong written and verbal communication skills.
  • Flexible and dynamic.
  • Service/customer-minded sense of initiative.
  • Team-minded and collaborative with the broader commercial/medical team.
  • Fluency in German and English.
