German Legal Support Specialist

Job Title: German Lawyer Assistant

We are seeking a highly skilled and detail-oriented German Lawyer Assistant to join our team for a 6-month contract. As the right-hand person to our legal team, you will excel in managing schedules, coordinating meetings, and ensuring client files are handled with precision.

Responsibilities:
  • Manage calendar schedules and arrange conference calls in various time zones.
  • Organize internal and external meetings, ensure proper venue setup, and prepare necessary documentation.
  • Assist with administrative tasks associated with client accounts, overseeing the complete life cycle of client files from initiation to closure.
  • Handle internal and external communication, including emails and phone calls, relating to client portfolios.
  • Maintain records electronically and in hard copies, ensuring proper document filing following relevant protocols.
  • Guarantee that assigned portfolios comply with company regulations and standards.
  • Regularly communicate with departments like KYC and risk management.
  • Keep our CRM database updated regularly.
  • Monitor the financial aspects of client files throughout their lifecycle and ensure that billing system parameters and data are accurate and aligned with customer instructions.
  • Filing documents correctly in designated software and adhering to regulations, including filings with public authorities.
Requirements:
  • Hold a degree in Office Management, International Administrative Management, or equivalent.
  • Proficient time management skills, a knack for multitasking, and the ability to prioritize tasks.
  • Prior experience as an assistant in an international setting, particularly in the advisory or financial sector.
  • Fluency in both written and spoken German at a native speaker level and English.
  • Good to basic understanding of French is advantageous.
  • High level of proficiency in MS Office.
  • Service-oriented mindset with a keen attention to detail and strong problem-solving abilities.
  • Capable of working autonomously yet collaboratively within a team.
  • Demonstrated ability to handle sensitive and confidential information discreetly.
