Your Responsibilities

As an Operational Process Coordinator, you will: facilitate the integration of external personnel in a prompt manner utilizing SAP and various internal tools; create SAP-driven reports to assist daily functions and monitor user account expirations; oversee both physical and remote access to the IT environment by initiating necessary requests and ensuring their execution and completion, collaborating with IT support, security teams, and external vendors; manage inquiries received through the shared mailbox for external personnel management and provide written assistance to multiple stakeholders; diligently maintain pertinent data in the personnel management system (SAP); refresh and sustain the dedicated Confluence page for external personnel management, encompassing all relevant guidelines and documents; work alongside Management Assistants throughout the organization to deliver administrative assistance, such as granting and sustaining access rights to various internal tools. This role presents exceptional opportunities to gain insights into and manage essential processes and systems within the organization, while aiding diverse teams in the seamless execution of their daily tasks. Required Qualifications, Experience, and Skills

Essential: relevant vocational training or equivalent, or a university degree in business management or a related field; in addition to the above, professional experience in administrative support within an international public organization; professional experience in managing processes for integrating new team members; proficiency in advanced MS Office applications (Word, PowerPoint, Excel, Teams); familiarity with SAP software; experience in utilizing shared mailboxes; an advanced (C1) command of English and an intermediate (B1) command of at least one other official EU language. Desired: professional experience with archiving and document management systems (e.g. OpenText Livelink); experience with low-code development platforms like Mendix; prior work experience at the European Central Bank. You are recognized as a proactive supporter of others, with a keen eye for detail.
