We are seeking a Production Operations Coordinator to become a vital part of our team. This role offers a part-time commitment of 25 hours per week, focusing on providing essential support to account managers while ensuring seamless collaboration with various departments to meet client requirements.

Applicants must be residents of Germany and possess the legal right to work in Germany without the need for sponsorship.

Key Responsibilities
  • Assist sales account managers and their clients to guarantee the successful execution of each vinyl record project, which includes:
  1. Organizing and assessing project details
  2. Monitoring project timelines and milestones
  3. Recognizing and resolving potential challenges
  4. Implementing solutions to navigate obstacles
  5. Following up on outstanding assets to ensure readiness for production
  6. Collaborating with various departments throughout the production lifecycle
  • Coordinating production activities with pressing operators
  • Working alongside the shipping and logistics team for production coordination
  • Reviewing bills of materials, quotes, and purchase orders for precision, reporting any inconsistencies to account managers
  • Ensuring timely ordering and delivery of print materials, aligning critical deadlines with external vendors
  • Updating and maintaining schedules and reports with production progress for clients and account managers
  • Managing all production-related documentation using Microsoft Excel, Google Business Suite, and proprietary company software
Qualifications
  • Fluent in German (C1 Level Minimum)
  • At least 2 years of experience in administrative or coordination roles
  • A minimum of 2 years of experience in customer service
  • Proficient in Microsoft Office and Google Business Suite
  • Ability to work autonomously and take initiative
  • Strong collaborative skills within a team environment
  • Excellent verbal and written communication abilities
  • Meticulous attention to detail
  • Highly analytical with robust problem-solving skills
  • Capable of thriving in a dynamic, team-oriented setting with changing priorities
  • This position requires 100% on-site presence.
