Service Coordinator Role

About the Role

We are seeking a highly organized and detail-oriented Service Coordinator to join our team at Tiger Resourcing Group. As a Service Coordinator, you will play a critical role in ensuring the smooth delivery of services to our customers.

Key Responsibilities

Primary responsibilities include:

  • Receiving and logging all incoming service calls from customers
  • Allocating Engineering resources to ensure successful and timely completion of service calls
  • Ensuring that all service calls are cleared and paperwork completed
  • Organizing Engineer diaries to ensure productive time allocation
  • Maintaining the out-of-hours call-out rota for Engineers and ensuring cover is provided at all times
  • Maintaining service contract files, ensuring all information is up-to-date and accurate
  • Arranging routine maintenance visits for contract customers and ensuring these are completed on schedule
  • Collating and filing routine maintenance documentation
  • Producing quotations for the supply and/or installation of common parts
  • Ordering parts as and when requested
  • Liaising with Subcontractors to arrange installation and service calls as and when required

Secondary Responsibilities

Secondary responsibilities include:

  • Answering overflow of telephone calls
  • Assisting in overflow of administration and office requirements, which may include overtime or flexibility in hours, and partaking in team building exercises

Task Frequency

The Service Coordinator will be required to perform tasks on demand, every 30-60 minutes, and daily, including:

  • Answering incoming telephone calls and creating service work orders
  • Monitoring emails and creating service work orders
  • Booking PPM calls
  • Monitoring progress of Engineer activity and allocating calls accordingly to ensure contracted response times are met
  • Updating end-user helpdesk systems
  • Checking incomplete calls and arranging return visits
  • Ordering equipment or requesting quotes as necessary
  • Entering new work orders from the previous night's activity
  • Contacting LSPs for updates on the activity of their calls
  • Providing feedback to end-users of the day's calls
  • Producing invoices for the day's calls
  • Producing internal reports for the day's activity
  • Producing 'check-in' reports for the following day's activity
  • Ensuring out-of-hours cover is in place for the coming night/weekend
