Job Summary

The Administrative Officer to the Staff Association will provide administrative and logistical support to the Staff Association and its committee activities across EMBL sites. This role will involve coordination tasks, financial administration, and providing administrative support to the Staff Association and its committee.

Key Responsibilities

  • Coordinate meetings and events for the Staff Association and its committee, including minute-taking and dissemination, and follow-up on action points.
  • Organize annual meetings, elections, and general meetings for the Staff Association, including hybrid set-ups and recording dissemination.
  • Provide administrative and logistical support to the Staff Association and its committee activities.
  • Coordinate financial administration tasks, including budget distribution, liaison with EMBL's finance department, and preparation of financial reports.
  • Coordinate training for staff representatives and meetings between staff, staff representatives, management, and EMBL's governing Council.

Requirements

  • Administrative experience with project management skills.
  • Foundational knowledge in finance and/or accounting.
  • Excellent command of English.
  • Proficiency in a second European language (German, French, Italian, or Spanish) is considered advantageous.
  • Office computing skills, web authoring experience, minute-taking, and proven administrative and organizational experience.
