Audiencly is a leading influencer marketing agency based in Düsseldorf. We connect brands and creators to deliver successful campaigns. Our ongoing growth is built on efficient processes, clear structures, and a forward-looking tool landscape. To strengthen our operations, we are seeking an Operations Manager who will serve as the backbone of our organizational and technical workflows.

Tasks

As our Operations Manager, you will design and refine administrative processes, drive technical projects, and ensure that our digital tools (e.g., Trello, Airtable, Confluence) run smoothly. You will work closely with various teams, maintain essential data, and support the automation of workflows. With a keen eye for deadlines and priorities, you’ll keep multiple projects on track and help us achieve our operational goals.

Key Responsibilities

  • Operational Support & Tool Implementation: Introduce, maintain, and optimize digital tools to enhance administrative and operational efficiency. Provide training to staff as needed.
  • Data Maintenance & Monitoring: Manage and update critical lists, including hardware, credentials, parking passes, licenses, and phones.
  • Project Support: Contribute to internal projects focused on process optimization and automation. Assist the operations team in managing technical systems and developing efficient workflows.
  • Interface with Other Teams: Collaborate closely with various departments to ensure seamless operational and administrative processes. Support the implementation of new tools and systems to facilitate teamwork.
Requirements
  • At least 3 years of professional experience in operations management, preferably in an agency or corporate environment.
  • Strong organizational skills to handle multiple projects, set priorities, and meet deadlines.
  • Excellent communication skills for interacting with internal teams, external service providers, and partners.
  • Experience with digital tools such as Trello, Airtable, and Confluence, and the ability to quickly learn new software. Understanding of process optimization and automation is desirable.
  • High attention to detail, especially when handling invoices, documents, and expense reports.
  • Basic knowledge of human resources management (onboarding, contract management) and financial accounting.
  • Fluent German and English language skills, both written and spoken.
