OVERVIEW:
The role of Quality and Program Office Administrator is to support the efficient and effective day-to day running of overall Quality (around 50 people) to ensure the team functions as a high performing team. Working closely with the whole Quality organization in Böblingen, London and Hambach, the Quality Office Administrator will oversee diary management, support with topic prioritisation, compilation of presentations and reports, document management and operational budget tracking amongst other activities.
Responsibilities include (but are not limited to):
- Attend meetings, such as Weekly Quality meeting, to record meeting minutes (MoM) and actions. Follow up on actions with relevant stakeholders.
- To assist in scheduling appointments for the team with external contacts & internal members of staff - this includes forward planning & scheduling any required papers, actions completed, preparing profiles / background for external meetings.
- Support team & coordinate with wider team with diary management, travel & expenses as necessary.
- Controls budget on office supply, etc. on operative level.
- To set up and adjust Organization Chart and mailing lists according to changes in the department.
- Take care of a 5% rate that permanently present staff are trained as first aiders and fire protection helpers or other legal requirements.
- Prepare reports, proposals, presentations, and documentation to support QM.
- Support Quality with queries, helping with questions from new starters and ‘how do I/where do I’ type questions Support enquires from the wider organisation & external suppliers.
- Propose and plan twice-yearly team building events, working to set a budget. Organize QM events (Townhall, etc.).
- Budget oversight at an operational level, supporting with Purchase Order requests, Goods Receipting, plausibility checks, and others. Support the monthly budget reporting.
- Forwards supplier invoices to accounting (SAP System).
- Coordinate Fleet Management Long-term Quality vehicles on operative level.
- Organize, coordinate and control Benchmark cars on operative level.
- Contact to Benchmark cars suppliers. Assure correct order process and invoicing.
- Controls budget on benchmark cars on operative level.
What we are looking for:
- Previous Administrative/Personal assistant/team support experience
- Tech savviness to be able to comfortably navigate & perform daily tasks using Microsoft Office Suite. Previous SAP experience (or alternative finance software) would be advantageous
- Strong organisational & prioritisation skills, self-motivated, & able to work independently but also as part of a team
- A genuine interest in the automotive industry (preferred but not mandatory)
- Pro-active and can take on challenging projects in a fast-paced environment
- Makes sure all necessary tasks have been completed to a high standard. Paying attention to detail on both small and large aspects of any work completed
- Excellent command of the English language written & spoken. German is advantageous.
