**The job**:
The main goal of the **Guest Services Protocol Officer (M/F/d)** is two-fold: first, to ensure that the principles of excellent guest servicing are incorporated into all guest management operations and that principles, policies and procedures are implemented at all events; and second, to develop and implement strategies, tools and operational plans for protocol guidelines, arrangements and interaction with all external stakeholders and guest groups.

**List of relevant tasks & responsibilities**:
**Key Responsibilities**
- Acting as the main contact person of an assigned number of external guest groups such as the participating national associations, dignitaries and host city;
- Establishing a communication policy for these guest groups
- Creating support material and documents (presentations, manuals, guidelines);
- Set-up and testing of the VIP Guest Registration Platform;
- Liaising with the other key projects to ensure all services for the target groups are covered (VIP ticketing, transportation, security, protocol meetings, accreditations etc.)
- Organising information sessions for embassies and other stakeholders
- Processing the logistics and planning of site visits for dignitaries
- Hiring and training of 6 protocol officers
- Overseeing the invitation management process
- Supporting with the EURO 2024 Final Draw

**The Tournament Role**
- Managing a team of 6 protocol officers that will be responsible for assigned guest groups;
- Overseeing the central coordination of all external guest groups;
- Ensuring that all guest lists and arrangements are ready within the deadlines for each match according to the service levels and needs of each group;
- Liaising with the respective stakeholders to cover access and security needs of dignitaries within the guidelines;
- Regularly communicating with the VIP Ticketing team on all changes regarding external guest groups;
- Ensuring that the VIP Venue Managers in the ten host cities receive all the necessary information on protocol guests before each match;
- Main point of contact for all protocol related matters;
- Troubleshooting and supporting all venues centrally from the main coordination centre in Frankfurt

**Education**:

- Bachelors in hospitality/event management
- Other customer service training

**Work experience**:

- 3 years in guest management operations or in large scale guest servicing operations in the fields in hotel management, travel industry or customer service
- At least 1 year working in guest management systems such as CRM
- At least 1 year experience in team leadership, supervision and training
- At least 1 year experience in protocol

**Set of Skills**:

- German (Proficient)
- English (Proficient)
- Any other language an asset
- IT user skills: MS Office (Word, Excel, PowerPoint, Outlook) (Advance)
- Excellent communication skills - oral and written
- Attention to details
- Service-minded and solution-oriented
- Able to handle stress
