Project Coordinator

We are looking for a Project Coordinator & Office Admin to administer and organize all types of projects, from simple activities to more complex plans. They will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently.


The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy.


RESPONSIBILITIES

  • Coordinate project management activities, resources, equipment and information
  • Break projects into doable actions and set timeframes with clients to identify and define requirements, scope and objectives
  • Help prepare budgets
  • Monitor project progress and handle any issues that arise
  • Act as the point of contact and communicate project status to all participants
  • Create and maintain comprehensive project documentation, plans and reports
  • Monitoring the daily progress of projects
  • Providing detailed updates to project managers or other stakeholders
  • Ensuring team members have the supplies and resources they need to complete their assigned tasks on time and within their budget limits
  • Organizing reports, invoices, contracts, and other financial files for easy access
  • Planning meetings and organizing project logistics
  • Performing billing and bookkeeping tasks
  • Ordering necessary office supplies, inventory and place orders when necessary
  • Provide administrative support to ensure efficient operation of the office
  • Answer and direct phone calls, emails, and other inquiries
  • Greet and assist visitors in a professional and friendly manner
  • Coordinate and schedule appointments, meetings, and events
  • Prepare and distribute correspondence, memos, reports, and other documents
  • Proofread and transcribe documents as needed
  • Close work with Sales and Procurement Department to ensure execution of open tasks with regards to the project.
  • Follow up and keep track of open queries
  • Travel assistance for the Team
  • Support with sampling process


Requirements and skills

  • Bachelor Degree
  • Solid organizational skills, including multitasking and time-management
  • Positive attitude and problem solving mindset
  • Excellent written and verbal communication skills
  • Attention to detail and accuracy in all work tasks
  • Ability to multitask and work well under pressure in a fast-paced environment
  • Hand-on experience with project management tools (e.g. Basecamp or Trello)
  • Computer and Data entry experience
  • Proven work experience as a Project Coordinator, Office Admin or similar role
