  • Sie sind Teil des Teams "Shareholder Controlling" und übernehmen wichtige Aufgabe zur Sicherstellung der Einhaltung internationaler rechtlicher Vorgaben und Bedürfnisse
  • Sie organisieren Unterschriftstermine und bereiten diese entsprechend vor, in dem Sie Notartermine abstimmen, Anwesenheit erforderlicher Zeichnungsberechtigter sicherstellen, z.T. Teilnahme an Notarterminen, Übermittlung der zu beglaubigenden/beurkundenden Dokumente an Notariat vorab und Mitteilung von Anzahl Abschriften und Formerfordernissen (z.B. Apostille)
  • Sie unterstützen bei der Ausfertigung von Dokumenten (erforderliche Anzahl, Übertragung auf Geschäftsbriefvorlagen) und Unterschriften einholen
  • Sie sind verantwortlich für die Dokumentation und Archivierung der erforderlichen Dokumente
  • Sie kümmern sich um die Legalisierung von Dokumenten, z.B. durch Botschaften und andere Behörden
  • Sie beantworten Anfragen interner Abteilungen und Regionen, z.B. zu Handelsregister-Auszügen, Dokumentenbeglaubigungen, UBO-Anfragen und sind anerkannter Ansprechpartner für die Kollegen weltweit
  • Sie veranlassen erforderliche Übersetzungen
  • Sie üben Backoffice-Tätigkeiten aus: z.B. Unterstützung bei ppt-Präsentationen, Target Structure (Visio), Reisekostenbuchung/-abrechnungen, Rechnungen bearbeiten
  • Sie sind verantwortlich für die Aktualisierung von Eintragungen in Portalen und Registern, wie bspw. bayerisches/deutsches/europäisches Lobbyregister, Transparenzregister, Unternehmensregister, Veröffentlichungen im Bundesanzeiger
  • Sie übernehmen die Administrative Unterstützung im Rahmen der Vorbereitung, Durchführung und Nachbereitung von Aufsichtsratssitzungen
Ihr Profil.
  • Sie haben eine abgeschlossene Berufsausbildung der Fachrichtung Rechtsanwaltsfachangestellte, Notarfachangestellte oder Bürofachkraft
  • Sie konnten bereits mehrjährige einschlägige Berufserfahrung bei einer Rechtsanwaltkanzlei, einem Notar, einem Unternehmen oder im Rahmen einer ähnlichen Tätigkeit sammeln
  • Sie beherrschen die gängigen MS-Office-Anwendungen (insbesondere Outlook, PowerPoint und Excel), Visio, sind offen für moderne Kommunikationsmedien und verfügen über Erfahrung in der virtuellen und digitalen Zusammenarbeit (z.B. mit Microsoft Teams)
  • Sie beherrschen Deutsch und Englisch fließend, weitere Sprachen sind von Vorteil. Sie verfügen über ein hohes Maß an interkultureller Sensibilität
  • Sie sind aufgeschlossen und organisiert und haben Spaß an der Vorbereitung von Meetings und Veranstaltungen
  • Sie überzeugen mit der Fähigkeit, die Komplexität von Aufgaben zu überblicken, Prioritäten zu erkennen und zu setzen
  • Sie haben einen selbständigen Arbeitsstil und hohe Eigeninitiative in einem internationalen und dynamischen Umfeld und haben ein profundes Planungs- und Organisationsgeschick
  • Sie sind ein motivierter Teamplayer und es gewohnt in vertrauensvoller Zusammenarbeit mit verschiedenen Abteilungen zu agieren
