About the Job

This is a fast-paced, highly interactive role where you will partner directly with the VP of Distribution and Logistics and the VP of Finance and their leadership team to drive and deliver on strategic and business goals. The Executive Assistant to the VP of Distribution and Logistics and the VP of Finance will work collaboratively with cross functional global leadership teams to ensure coordinated execution. The Europe business is made up of the Wholesale, Merchandising, Planning, Marketing, Business Operations & Planning, and DTC: Corporate - Retail Operations.

She or he must be comfortable with working in a very cross-functional environment, working closely with different European and Global teams, especially where it comes to Management Support and Functional Support where needed. She or he must have a getting things done mentality, and a demonstrated ability to effectively negotiate, communicate, build effective partnerships across the organization, and influence others.

Organizational Impact:

Manage all internal/external stakeholder interactions in a professional, confident manner. Anticipate needs of the VP of Distribution and Logistics and the VP of Finance and operate at a rapid pace alongside dynamic leaders. Manage complex, highly confidential projects with shifting priorities and high-performance teammates throughout the company. Manage and monitor VP’s calendars and aligned to changing priorities. Draft materials such as agendas, emails, presentations, and other messaging. Coordinate domestic and international travel and build organized, detailed trip itineraries. Manage expense reporting for VP of Distribution and Logistics and the VP of Finance. Ensure accuracy on all transactions from VP’s and all Executive expense reports they are reviewing and assist in T&E expense report training for other Executive Assistants. Represent the VP’s office on sensitive and highly confidential information with absolute discretion and tact. Build and maintain relationships with internal and external partners. Coordinate and support on communications to broader departments as needed (e.g. Events, Facilities, international offices, developments etc.) Lead, support and execute various Functional Management Teams (D&L - Finance) meetings based on defined ownership amongst the functions. Ensure contract management and registration is properly executed for D&L. Support coordination with external vendors; assist in booking vendors, coordination of payment and follow up

Communication:

Functions as a ‘bridge-building’ between teams external and Levi’s, by inclusion of the right stakeholders, constructive communication to goals. And building strong relationships. High level of cross functional collaboration, both written and verbal, with key stakeholders, both internal and external. Frequency can range from daily to monthly deliverables. Able to convey the company and department’s strategy across all layers of the organization. Communicates team vision & goals in alignment with Levi's strategic direction. Have a commercial & process mindset be able to see the bigger picture and understand the business priority & needs. Be confident with process, systems and be able to translate commercial strategy into operating model and supply chain solutions. Able to make decisions with minimal direction and possess a service-oriented mindset. Possess excellent cross-group collaboration and strategic communications skills. Work independently and efficiently in the face of some level of ambiguity from other executive leaders. Prior experience working in a fast-paced environment with the ability to multi-task and remain calm under pressure. Ability to authentically connect with people in a positive and optimistic way. Enjoy working and connecting with people at all levels of the organization and solving problems on behalf of the Executives. Flexible with change and able to shift gears quickly. Can utilise examples of continually solving problems and re-prioritizes their day to keep with the demands of a fast paced, ever-changing environment. Proven ability to be a partner to the Executives by providing excellent customer service skills to internal and external partners by using tact and good judgment, ultimately deescalating issues. Proven ability in keeping Executive focused and organized. Strong Communication skills. Able to express facts and ideas in writing in a clear, convincing, and organized manner; listen effectively, and clarify information as needed.

Education And / Or Experience

Bachelor’s degree 3-5 years of Executive Assistant experience or similar work experience. Strong Microsoft office skills are required: specifically, Outlook, Word, Excel, and PowerPoint The ability to be flexible and accessible as needed Able to level the communication, messaging, and action driven conclusions to the audience it is shared with. Fluent in English. Other European languages is added value. Strategic thinking + flawless execution Ability to effectively communicate and collaborate with internal and external multidisciplinary groups.

The expected starting salary range for this role is $xx,xxx- $xx,xxx. We may ultimately pay more or less than the posted range based on the location of the role. The amount a particular employee will earn within the salary range will be based on several factors including, but not limited to, relevant education, qualifications, experience, skills, performance and business needs.
