CEO Assistant

General Information

This position is remote.

Your mission

You support the CEO and ensure that RaceOn runs smoothly – in Germany, the EU and the USA. You manage internal processes, create structure, ensure compliance and act as the central interface between management, team, partners and service providers. You organise, prioritise, think ahead and ensure that no deadlines or obligations are missed. In short, you run the company behind the scenes – reliably, discreetly and precisely.

• Branding & Web: Maintenance and further development of the company website, social media, graphic content, editorial planning, image database.
• Policies & Compliance: Creation, maintenance and enforcement of internal guidelines, documentation, training. Ensuring all legal requirements (UK/EU/US) are met.
• Finance & Admin: Preparatory accounting, invoicing, payment monitoring, correspondence with authorities, management of accounts and receipts.
• Contracts & Legal: Management of contracts, insurance, legal documents (EU & USA), cooperation with tax advisors and lawyers.
• Internal Processes: Development, optimisation and documentation of internal processes; continuous improvement of organisational structure.
• Travel & Events: Planning CEO trips, business trips and company events, including hotels, flights, memberships, e-SIMs.
• Team Support: Ensuring that engineers have everything they need to focus on engineering; administrative support in day-to-day business.
• IT & Vendor Management: Software contracts, IT coordination, obtaining quotes, organising hardware, team clothing, merchandise.
• RaceOn Inc. (USA): Office and document management, official forms, mailbox support.

Your profile

You work proactively, in a structured manner and are completely reliable. You juggle many tasks at once and still maintain an overview.

What you bring to the table:

• Business savvy whether qualified or not with a proactive, independent mindset
• Precise, discreet and process-oriented approach to work.
• Very good written and spoken German & English
• Experience in assistance, HR, finance or office management.
• Confident use of tools, high level of IT comfort, ideally DATEV knowledge.
• Understanding of German labour, tax and social security law; plus point: EU or international payroll.
• Organisational skills, ability to prioritise and quality awareness.
• Enjoyment of establishing structures and continuously improving them.
• Resilience, humour and the ability to keep track of things even on hectic days.
• An interest in motorsport is a plus, but not a must.
