THE ROLE

The Admin Assistant & Office Support role provides the exciting opportunity to get involved in all areas of our Germany business and will provide essential administrative support to our team. In this exciting and pivotal role, you won't just be filing paperwork — you'll be the go-to person who keeps the team connected, schedules on track, and the office humming. This is your chance to step into a role that's as rewarding as it is essential, where no two days are the same and your impact is felt across every corner of the organisation.

This role is initially one day per week with the potential to extend to more days, you will be expected to work within our office in Berlin for all shifts worked. There may be some Saturday work required. Speaking German is also a necessity as the role will liaise with German speaking clients, contacts and staff.

ROLES & RESPONSIBILITIES

  • Provide day-to-day administrative support to the team and leadership
  • Supporting our Staffing team with administrative actions such as creating staff profiles, ad hoc support with booking staff, Right to Work documentation checking, reviewing and checking timesheets
  • Payroll support and invoice management
  • Letter correspondence and management
  • Manage calendars, schedule meetings, and coordinate appointments
  • Handle incoming calls, emails, and correspondence professionally
  • Maintain filing systems and ensure office documents are organised and up to date
  • Order and manage office supplies and equipment when required
  • Assist with travel arrangements and event planning
  • Support onboarding of new employees and liaise with HR and Operations as needed
  • Contribute to a positive and productive office environment

REQUIREMENTS, SKILLS & EXPERIENCE

  • German and English speaking required
  • Background as "Bürokauffrau-/ kaufmann" would be an advantage
  • Office administration experience
  • Excellent organizational and time management skills
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfort with technology
  • Ability to work independently and manage multiple priorities
  • A problem-solver with a can-do attitude and a team-first mindset

SALARY AND BENEFITS

This role offers a salary of €560/month mini job contract for 8 hours of work per week. The hourly salary is €16.10. This role has the potential to increase to more days.
