Aware Health is a health tech company based in Berlin. We combine venous blood analysis and personalised health recommendations in our app – so that people can better understand their bodies and actively work on their long-term health.
We are in the process of restructuring our People Operations. This position is central to ensuring a smooth and professional employee experience.
We are looking for a People Operations Specialist who will take responsibility for all HR operational matters at Aware. This includes monthly payroll preparation, contract management, onboarding and offboarding, recruiting coordination and general HR administration. In addition, the role supports basic finance processes such as accounting preparation.
The role is hands-on, operational and offers plenty of scope for independent work. You will work closely with our COO and be the first point of contact for the entire team on HR issues. You should enjoy finding solutions independently, improving processes and working in a fast-paced environment.
Your profile- Native German (C2) and very good English (C1).
- At least 2 years of practical experience in people operations, HR administration or recruiting in Germany. Experience with Personio or other HRIS/ATS tools.
- Good knowledge of German labour law basics (contracts, sick leave, insurance, salary components, fixed-term contracts).
- High degree of independence: you find solutions, make suggestions and work proactively.
- Very good organisational skills and an eye for detail.
- Confident use of digital tools and openness to the use of AI to increase efficiency.
- Reliable, discreet working style and professional handling of sensitive information.
- Basic knowledge of DATEV and payroll processes.
- Experience in start-ups or small businesses.
- Initial exposure to finance/accounting processes.
- Preparation of all monthly payroll data for our tax office
- Processing of sick notes, issues with health insurance companies, ELStAM and other documents relevant to labour law.
- Ensuring the correct handling of fixed-term contracts, working students, mini-jobs and similar forms of contract.
- Working closely with the tax office's payroll specialist
- Preparing employment contracts and contract amendments based on our templates.
- Maintaining personnel files, contracts, contract amendments, certificates and absences.
- Communicating with insurance companies, authorities and other external bodies.
- Managing the entire recruiting process in Personio: job advertisements, scheduling, communication with applicants.
- Conducting initial telephone screenings (depending on experience).
- Preparing offer documents and conducting reference checks.
- Organising professional onboarding: equipment, access, documents, welcome materials.
- Managing offboarding: equipment return, documentation, account deactivation.
- Continuous improvement of checklists, templates and HR processes.
- Supporting accounting preparation: collecting, categorising and digitally filing invoices.
- Handling travel expenses and employee reimbursements.
- Supporting administrative tasks in day-to-day operations.
