Office Services Coordinator (Part-time)

The Role

We are seeking a part-time (20 hours/week) Office Services Coordinator for a one-year, in-person contract.

Your Role and Responsibilities:

  • Support the Country Manager in daily administrative and operational tasks

  • Act as the main point of contact for office-related matters

  • Manage office supplies, equipment, and facilities

  • Coordinate meetings, travel arrangements, and team-events

  • Support month-end reporting and assist in the preparation of presentations and business reviews

  • Assist with onboarding of new employees and HR-related tasks

  • Liaise with internal departments and external vendors

  • Ensure compliance with local regulations and company policies

  • Maintain accurate records and documentation for compliance

  • Handling general correspondence in English and German

  • Any other duties assigned

  • You have a commercial education as well as professional experience in the above-mentioned areas of responsibility

  • You can work independently with minimal direction in a dynamic and international environment

  • You take initiative and you can think outside the box

  • You have strong organizational and project management skills with the ability to adapt, pivot and prioritize when necessary

  • You can communicate strongly with various levels of staff, including senior management and executives.

  • Confident and effective handling of Microsoft Office applications

  • Can communicate fluently in German and English in writing and verbally

Dann möchten wir Dich kennenlernen Wir suchen ab sofort Dich als Office-Services-Koordinator (m/w/d) in Teilzeit mit 20 Wochenstunden. Die Stelle ist zunächst auf ein Jahr befristet.

Deine Aufgaben bei uns:

  • Enge Zusammenarbeit und Unterstützung des lokalen Country-Managements

  • Eigenverantwortliches Führen des Office Managements

  • Unterstützung bei Monatsabschluss (u.a. Rechnungsprüfung) und Reporting

  • Erstellung und Vorbereitung von Präsentationen in englischer Sprache

  • Steuerung und Abstimmung mit Lieferanten und (Facility-)Diensteistern

  • Koordination von Meetings, Reisen und Teamevents

  • Unterstützung beim Onboarding neuer Mitarbeiter und bei allgemeinen HR-Themen

  • Sicherstellung der Einhaltung von Compliance-Themen (u.a. Arbeitssicherheit) und Unternehmensrichtlinien

  • Zusammenarbeit mit internen Abteilungen und externen Lieferanten

  • Bearbeitung der allgemeinen Korrespondenz in Englisch und Deutsch

  • Sonstige administrative Aufgaben

Damit überzeugst Du uns:

  • Du hast eine kaufmännische Ausbildung oder ein Studium absolviert sowie Berufserfahrung in den oben genannten Aufgabenbereichen

  • Du bist es gewohnt, selbstständig und eigeninitiativ zu arbeiten und über den Tellerrand hinaus zu schauen

  • Außerdem zeichnest du dich durch eine strukturierte Arbeitsweise aus und überzeugst uns als ausgeprägtes Planungs- und Organisationstalent mit einer Flexibilität für die täglichen Aufgaben

  • Du arbeitest gerne in einem internationalen Team und für dich ist es kein Problem mit unterschiedlichen Gesprächspartnern zu kommunizieren und souverän aufzutreten

  • Du überzeugst mit Deiner positiven Ausstrahlung und Deiner hohen Dienstleistungsbereitschaft

  • Sicheren und effektiven Umgang mit Microsoft Office-Anwendungen

  • Sehr gute Deutsch und (gute) Englischkenntnisse in Wort und Schrift
