**Job Title: Team Lead AP Coordinators** **Location(s): Berlin - Hybrid Working Model** **About the Role** As part of the Accounts Payable department, you will have a diverse and exciting range of duties. We have teams based in Berlin, Pune, Jersey City, and Basingstoke. You will be responsible for ensuring the timely and accurate processing of invoices, payments, query handling, and vendor reconciliations. Ensure the team is following the corporate policies and procedures, and internal controls, as well as compliance and tax requirements. Besides the normal operational processing activities, you will lead a team of AP specialists (around 6 FTE) based in Berlin and manage the AP team lead in India. You will act as the deputy of the Manager Global AP Operations. In addition, you will closely work together with colleagues in IT, Accounts Receivable, General Ledger, and Tax. We are looking for an experienced person with analytical skills who is flexible and problem-solving orientated and takes ownership of the AP Operations. Why join us? The position will move into a manager position within a couple of years. **Role Responsibilities**: AP Operations - Managing the daily AP Operations including invoice processing, matching purchase orders, invoice approvals, and payments - Ensure timely and accurate processing of invoices and payments in compliance with agreed payment terms - Resolve invoice issues, discrepancies in purchase orders, and payments - Monitor, analyze, and follow up on debit balances - In case of limited resources, support the team with the day-to-day activities - Act as the key AP contact for escalations and urgent payments Team Management and Development - Lead, support, motivate, and mentor the AP team members. Guide your team members to develop their skills and enable them to grow further - Assign the tasks to your team members, monitor the workload, and conduct performance reviews - Provide training to team members on systems, policies, and procedures, and ensure they are following the best practices - Monitor the performance of our AP team in India with the support of the AP Team Lead in India Process improvement and automation - Proactively analyze the processes within your area and suggest process improvements to enhance efficiency and accuracy - Collaborate with IT to streamline the AP processes Reporting and analyzes - Analyze AP data to identify trends, and provide actionable insights to the management regarding invoice processing, purchase orders, and approval processes - Monitor KPIs on invoice cycle time (TAT), invoice aging, invoice, and payment accuracy by making use of our audit tool Compliance and internal controls - Ensure the team is following the corporate policies and procedures, and internal controls, as well as compliance and tax requirements - Implement, and maintain internal control to mitigate risks, such as fraud and processing errors - Support internal and external auditors by providing necessary documentation and reports **Experience, Skills & Qualifications**: - Bachelor's degree in a Finance related field (preferred) - Relevant working experience in Accounts Payable (>5 years) with at least 2 years of experience as a team lead - Experience in an International Shared Service Center environment is an advantage - Experience in working with an ERP System, such as SAP, or Oracle (preferably SAP) - Experience in working with workflow tools - Strong understanding of the Procure-to-Pay processes and best practices - Advanced skills in Excel and other data analytic tools - Excellent communication and interpersonal skills to manage vendor and team relationships - Strong organizational and problem-solving skills with an eye for detail - The ability to manage multiple priorities effectively - Cultural awareness and sensitivity - English: Advanced - German: Advanced If you have any access needs related to disability, neurodivergence or a chronic condition, please contact us so we can make all necessary accommodation.
