Event Management Specialist (m/w/d)

Job Purpose

Key role in the Customer Marketing department to plan, organize and execute the most important technical events for our B2B and B2C customers. Next upcoming important events: IFA, Photopia, coop fairs

Key Roles and Responsibilities
- Planning concepts with full understanding of the requirements of various stakeholders
- Initiate and update the schedules with all the stakeholders as the project leader
- The relevant stakeholders are:Corporate management, Key Account Sales, Regional Sales, Product Marketing, PR, Tokyo and European Headquarters, Retail partner dealers, Agencies
- Ad & Promo expense control
- Cost optimization
- Expense planning, forecasting and budget control
- Purchase Order Management, invoicing, proper account booking
- Execute the event preparation and implementation
- Event venue selection and negotiation
- Concept, floor layout design and display furniture arrangement
- Integration of sister company into events
- Logistic management
- Product “Master List” maintenance
- Product sample arrangement (domestic/international)
- transportation control (coordination with Supply Chain Team)
- Warehouse management
- printed materials (catalogs, POS materials, carrying bags, etc)
- Display stand construction and dismantling
- Catering planning
- IT infrastructure setup
- Network infrastructure for wireless product demonstration
- IT hardware and connection support for staff and participating dealers
- Internal manpower management (Sales, Marketing, Brand Activation personnel)
- Agency management
- Agency selection, negotiation, execution, performance analysis, expense control
- Securing necessary manpower and scheduling
- Promoters, trainers, reception hostess, setup crew, dismantling teams, etc
- Set-up of furniture, product setup, connection, and re-packing of samples
- Management of participants
- Control number of invitees and prepare the execution plan accordingly
- Monitoring actual number of participants to facilitate crowd control
- VIP walk-around arrangement (IFA, Ambassadors, etc)
- Review each event with the stakeholders for future planning and improvement

Qualifications & Experience
- Minimum 3 year experience in event management operations
- Excellent communication skills
- Excellent presentation skills to convince internal and external stakeholders
- Flexibility to adapt into fast moving business circumstances and ability to work under pressure
- Customer-oriented approach, proactivity and reliability
- Result-oriented work management within the budget money within the deadline
- Excellent verbal and written skills in English and German
- Excellent knowledge of MS-Office (especially PowerPoint, Excel)
