THE ROLE

IGEL is looking for an upbeat, focused, and well-organized individual to join our EMEA Sales Team providing administrative support to teams and developing various projects. As an integral part of the sales organization, the Team Assistant is a highly motivated individual and will help arranging meetings, updating records, handling mail, preparing training equipment, communicating with all team members, and making travel arrangements. You will occasionally act as a back office for the CRO EMEA.

This position can be either full-time or part-time over 5 working days.

RESPONSIBILITIES
- Effectively provide professional administration support to the Leaders/Managers/Department as necessary
- Establish, maintain and develop appropriate efficient office and administration systems and processes, to ensure the smooth and effective running of the office at all times
- Responsible for managing diaries, organising internal/external meetings, organising events, booking travel, hotels and couriers
- Act as the focal point for the Leaders/Managers in the team, judge the priorities and proactively work with the many conflicting demands of the team
- Administer and minute key meetings, including the management of meetings rooms
- Collate and produce high standard documents for a variety of forums including team and management meetings, other meetings, reports and publications
- Manage basic correspondence with internal and external clients
- Assist in maintaining and uploading content to the department’s intranet
- Run reports as required and assist with the administration and co-ordination of departmental reports
- Responsible for purchasing office supplies and sundry items required by the management team and processing any invoices/expenses
- Contribute to projects and activities as appropriate for the team e.g. project co-ordination, research, presentation and communication support and day-to-day operational activities
- Proactively identify where additional support can be given to the leaders/managers in the team

QUALIFICATIONS
- First class organisational skills with excellent attention to detail and a high degree of accuracy
- Administrative experience, ability to multi-task, working without supervision, ability to prioritise and balance conflicting demands, using own initiative to resolve problems and managing own workload within agreed deadlines
- Excellent customer service and interpersonal skills for effective communication with a wide range of contacts
- Understanding of the need to be cost effective within finite resources
- Reliable and enthusiastic with proven ability to work in a team environment
