MITRE Europe is seeking a professional, highly motivated, proactive, and efficient Business Operations Coordinator to support regional leaders and the geographically dispersed team.
**Roles and Responsibilities**:
You will coordinate across six international site locations of MITRE Europe to support all facets of business operations, including but not limited to: organizational communications, financial tracking and updates, budget revisions, team information & knowledge management, VIP visit coordination, and event planning. You will work closely with MITRE Europe Site Operations Manager, technical staff and administrative staff, to coordinate expat benefits, manage security clearances, international work permissions, interviewing and hiring. You should be comfortable working independently as well as in a collaborative work environment, supporting the needs of the MITRE Europe leadership. You will need to consistently demonstrate initiative, creativity, and follow-through on a broad range of activities necessary for effective team business operations.
The MITRE Europe Business Operations Coordinator will:
- Work closely with MITRE Europe Project leaders developing project budgets, monitoring financial execution, and updating project plans as needed.
- Provide accurate and timely financial / resource reports and documentation for the MITRE Europe team to center, sector, and corporate leadership, as well as sponsors
- Manage workforce capacity and delivery, advising MITRE Europe leadership on execution risks and strategies to mitigate them
- Manage and oversee indirect/direct/lab & facilities budgets, ensuring timely and accurate reporting to MITRE Europe leadership and corporate leadership
- Prepare, organize and analyze project plans and provide updates and/or solutions to business operational issues within MITRE Europe work programs.
- As needed, assist in planning and organizing meetings, conferences, and events, to include coordinating supporting services. Assemble background materials for VIP meetings and briefings.
- Act as team information & knowledge manager, posting, and electronically organizing & archiving such information as necessary. Manage department regional SharePoint sites and associated document libraries. Exercise discretion regarding sensitive information at all levels, both internally and externally.
- Prepare correspondence (HR forms, documents, and reports) in accordance with MITRE standards. Organize outgoing correspondence for distribution; maintain division and department letters and memos (document number-tracking system) and files.
- Assist staff with questions and processes regarding travel arrangements and travel claims.
- Assist as necessary to generate and edit final documents (e.g., project/task deliverables) by merging and synthesizing inputs from multiple sources in preparation for delivery to MITRE sponsors.
**Basic Qualifications**:
- Typically, a Bachelor’s Degree with 2 years of relevant experience, or Associate degree (AA or AS) plus 6 years of experience who can immediately contribute; or equivalent combination of related education and work experience.
- Active Top Secret clearance with ability to obtain TS/SCI
- Demonstrated proficiency with the Microsoft Office Suite (Outlook, Word, PowerPoint, Excel, Teams) and SharePoint
- Demonstrated ability to quickly learn new software systems.
- Exceptional interpersonal, communication, and organizational skills, including the ability to professionally interact with senior executives across MITRE and its sponsoring organizations.
- The ability to compose routine written communications, including division announcements or internal correspondence, and the ability to accurately proof-read and edit documents produced by staff.
- The ability to independently assess and prioritize tasks and work independently throughout all levels of the organization.
