Ready to join us? **About this opportunity** As the Office Coordinator you take care of the day to day running of the office in Cologne, you are in charge of the general administration for the DACH region, the car pool in Germany and generally support the DACH leadership team as well as the office team. **In this role, you will** **Facilities, Equipment & Car Pool Management**: - Organize and maintain office space, equipment and furniture (incl. cleaning, repairs and upgrades) - Ensure that each employee in DACH is equipped with computer(s), phone(s) and other devices as per his/her job role and that the devices are ready for use - Close cooperation with European HQ - Maintain a safe and secure working environment - Follow through on maintenance agreements and contracts - Ensure that meeting rooms are ready for use, i.e. fully equipped and cleaned daily, catering when needed - Coordinate and monitor the company cars in close cooperation with the leasing company - Ensure proper hand-over and/or return of company cars to/from employees; train new hires on car policies and monitor adherence; control of driver licenses in regular intervals - Back up to Office Manager, facilities management during absences **General Administration & Management Support**: - In charge of local purchasing (e.g. office supplies, beverages, services) in line with company procedures and policies - Responsible for timely processing of invoices, travel expenses and other expenditures - Distribution and handling of incoming post and deliveries; taking care of outgoing mail and packages - Support management with travel arrangements - Provide training to new hires regarding administrative policies and procedures - Create PR/PO’s within financial program SAP and main point of contact towards AP team regarding any related queries from the team (Sales, Marketing, etc.) - Onboard vendors in our internal systems - Onboarding new hires on office / admin related topics (incl. Remote/field based employees). **Company activities & event management**: - Coordinating employee activities (quarterly sales meeting, Christmas party, etc.) - Coordinating company activities and events (often include customer events, e.g. supporting the local marketing team with local customer event management in the office itself or external locations) **Travel**: - Be the main point of contact with the travel agency to report issues with employee bookings when needed - Support the team with travel requirements - Lead training to employees for Travel expenses and approvals done according to business guidelines and requirements **Support high-level executive support for General Manager** - Provide general support when needed. - Support with travel arrangements. - Coordinate calendars and schedules when requested. - General admin support and preparation/ filing of documents and presentations. - Working with senior stakeholders across the business to deliver projects and events. - Take meeting minutes and reports where requested **In this role, you’ll need ** - High school degree with 4+ years of directly related experience, preferably gained in an international environment - Strong organizational skills - Native Germa and fluent English language skills - Strong IT skills (MS Office) - Efficient at managing competing demands including the ability to prioritize, respond timely, and regular communication - Intuitive problem-solving skills and a strong ability to manage details - High sense of accountability and an agile can-do attitude to facing problems - Sense of urgency in responding to customers and solving problems **Sound like a good fit?** Great Click the "Apply" link to let us know you are interested.
