**Are you looking for an interesting mini-job?**

As an Associate, Finance & Office Support, you will play a key role in maintaining seamless operations across various business functions. Primarily supporting the Finance & Accounting team, your responsibilities will include managing incoming mail, archiving documents in compliance with local regulations, uploading records to Netsuite, and coordinating with creditors and suppliers to resolve invoice-related issues. You'll also handle data management, document organization, and general administrative tasks.

Additionally, you'll ensure the smooth running of the office by organizing orders for lunches, supplies, and equipment. You'll assist in planning internal events such as customer gatherings and team socials while contributing to cross-functional projects and taking on new responsibilities as you grow in the role.

Lastly, you'll provide administrative support to the People team, directly impacting global operations and culture through your contributions.

**Key Responsibilities**:
**Responsibility 1**:Finance team Support**
- Manage all incoming mail and distribute accordingly
- File, log and archive all related documentation based on local requirements
- Follow up and chase with creditors and suppliers on missing invoices and disputes
- Data maintenance, document management and administration
- Ensure Netsuite is kept up to date and administered correctly

**Responsibility 2: Office Support**
- Ensure that the office is well stocked; ordering lunch, beverages e.g. coffee machine, soft drinks etc, stationary and general office supplies, office equipment, etc.
- Support on the planning of customer events including the management of travel logistics etc
- Proactively organise all staff events etc
- Act as the point of contact for visitors to the office
- Ensure that the office is always health and safty compliant, E.g. Fire regualtions, Health and saftey etc
- Maintain a clean and tidy office at all times

**Responsibility 3: People/HR Support**
- When required, you will provide administrative support to the people team
- Support in the management of the company asset register
- Creation of job requisitions and admin support in the recruitment process

**Skills, Knowledge and Expertise**:

- Able to work independently.
- Diligent and organised and keen to take on responsibility.
- Fluent in German and English (company language is English).
